The honest difference

Spreadsheets win at arithmetic and at anything with a total. Notion wins at structure — linked views, filters, and the feeling that a record lives in one place and appears in several.

Choose a spreadsheet when

• The answer is a number: budgets, loan repayments, hours, weights
• You need it offline and fast, with no loading spinner
• Someone else has to open it without creating an account

Choose Notion when

• You are tracking many related things: goals, projects, reviews, reading
• You want one entry to surface in more than one view
• You will actually open it because it looks pleasant to open

The failure mode of both

The tool is rarely the problem. Systems die when they require daily maintenance to stay accurate. Pick the option with the fewest required fields, and let anything optional stay empty.

A hybrid that works

Keep money in a spreadsheet where formulas do the work, and keep everything narrative in Notion. Export monthly, so the numbers are available when you want to look back.
